JOB TITLE:  Clerk   

DEPARTMENT: Clerk of Superior and State Courts, Ware County

JOB SUMMARY: This position is responsible for providing general clerical support to the Office of the Clerk of Superior and State Courts.

MAJOR DUTIES:

  • Assists the general public at the counter.
  • Provides information on various instruments and cases.
  • Submits reports to the proper state authority.
  • Records UCC forms; indexing in UCC filing dockets.
  • Performs other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

  • Knowledge of the state laws and guidelines governing Superior and State Courts.
  • Knowledge of basic bookkeeping.
  • Knowledge of legal terminology and required record-keeping procedures.
  • Knowledge of modern office procedures.
  • Skill in operating such standard office machines as a calculator, computer, and copier.
  • Skill in filing.
  • Skill in oral and written communication.
  • Skill in dealing with the public.

SUPERVISORY CONTROLS: The Clerk of Courts assigns work in terms of somewhat general instructions. The supervisor reviews completed work for accuracy and the nature and propriety of the final results.

GUIDELINES: Guidelines include state laws and regulations affecting Superior and State Courts and instructions from the supervisor. These guidelines are clear and specific, but may require some interpretation in application.

COMPLEXITY: This position consists of related duties in maintaining court files.

SCOPE AND EFFECT: The purpose of this position is to maintain complete and up-to-date court records and provide clerical support to the courts.        Successful performance helps ensure accurate public records.

PERSONAL CONTACTS: Contacts are typically with co-workers and the general public.

PURPOSE OF CONTACTS: Contacts are typically to give or exchange information and provide services.

PHYSICAL DEMANDS: The work is typically performed with the employee intermittently sitting or stooping. The employee must frequently lift light objects.

WORK ENVIRONMENT: The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY:     None.

MINIMUM QUALIFICATIONS:

  • Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
